Introducing a new format to submit information for internal newsletters

Strategic Communications appreciates all of the information we receive from faculty, staff and students for our internal newsletters – WSU Today, Shocker Blast and Campus Connection. We couldn’t do what we do without your help.

Moving forward, we are asking you to use the WSU newsletter submission form. The submission form link will also be available on the newsletter pages. Effective Monday, Sept. 16, only submissions sent through the form will be considered for inclusion.

The purpose is to streamline the process for submitting news and information for internal communications. The form should also result in more consistency in compiling the newsletters.

PDFs will no longer be accepted because their content isn’t easily transferred to calendars, and because of accessibility issues.

Parking and shuttle changes

WSU parking and shuttle changes aim for efficiency

Stop sign changes:

Campus commuters will notice new stop signs on the west side of campus when approaching Perimeter Road from Hillside or Memorial Drive. Be prepared to stop when preparing to enter Perimeter Road.

For many campus commuters, this is a significant change and may pose an accident hazard. Please use caution and be safe when accessing the intersection. Additionally, University Police will deliver citations for failure to stop at the new signs.

HealthQuest biometric screenings

Biometric Screening appointments still available for Tuesday, Aug. 20

If you haven’t scheduled your biometric screening for 2019, there are several appointment slots that are still available for Tuesday, Aug. 20. Remember, after Aug. 20, there will only be three biometric screening dates left in the year. 

All screening events are held 8 a.m.-5 p.m. Walk-ins may be available, but are not guaranteed as preference is given to those with scheduled appointments. Typically the last few biometric screenings of the year are heavily attended with very limited walk-in availability, so we recommend employees and covered spouses schedule as soon as possible to avoid a long wait.

Attendees earn five HealthQuest points just for attending, and up to 18 additional points for blood pressure, blood glucose, and total blood cholesterol within ideal ranges, for up to 23 points and $230 HSA/HRA rewards dollars! If your metrics are outside of the ideal ranges, you can still earn the same number of points by participating in the CCE workshops in the HealthQuest portal, as needed.

If you’re not able to attend an onsite biometric screening, you can still request a Home Test Kit or your physician can submit a Healthy Range Incentive form.  More information about these options is available at Kansas HealthQuest.

Engage WSU

Engage WSU 2019 to feature keynote address from Lt. Gov. Lynn Rogers

From 7:30 a.m.-noon Friday, Sept. 13, the Public Policy and Management Center and the Division of Diversity and Community Engagement will present Engage WSU, a day that brings together university, public, nonprofit and community leaders for current research and knowledge exchange in public service. 

Engage WSU will be held at WSU's Marcus Welcome Center and will feature a keynote address from Lt. Gov. Lynn Rogers, Parting Words from retired Sedgwick County undersheriff Brenda Dietzman, the Road to Public Service with Leavenworth Mayor Jermaine Wilson and various breakout sessions. 

The breakout session topics will include Media Coverage of Community Driven Issues; Profiles of High Utilizers of Mental Health Community Services; Continuing the Connecting Conversation: Talent & Retention; and Diversity and Community Engagement.

What’s new in Purchasing? The Business Procurement Card Program has changed!

All card types (previously known as the Procurement, iTravel, Enhanced, Standard Plus and Standard Visa) now have the same purchasing power.

Purchases are no longer dependent upon the type of card you hold.

The approval to make a specific type of purchase (example: travel, official hospitality etc.) is between the Accountholder and the Budget Officer.

It is the responsibility of the Budget Officer to communicate any restrictions, over and above that of the program restrictions, to the Accountholder.  Program restrictions can be found at www.wichita.edu/purchasing.

BPC cards will still have individual monthly credit limits and per transaction account limitations.

For current Accountholders - it is important that you understand what your current account limitations are and evaluate if they are consistent with the expectations of your Budget Officer. If you need more information please contact the PcardAdmin@wichita.edu.

If you have more than one card, the PCard Admin will be contacting you directly in the immediate future.

It is highly recommended that all current accountholder’s attend a training session as a review for current policies, processes and procedures.

Purchasing is working on having training videos available online. In the meantime, in-person training sessions are available through the myWSU portal. Search for keyword “Visa”, select the session that best fits your schedule and we will see you there!

New P-Card type introduced!

Departmental Cards - formerly known as Registration Accounts – have been expanded to include all travel purchases and purchases of departmental goods and services

This is a new way for Departments to process business related purchases using one account within the department. There are a different set-up options available. The Budget Officer is responsible for requesting the account, and working with the PCard Admin to establish the card correctly according to what works best for the department.

 The new Departmental Accounts will be set up in the Department’s name.  The Budget Officer assigns one person to be the “Custodian” of the account. Reconciliation is performed by the “Custodian” of the account through the Chrome River reconciliation process.

Then, the Department has the option of a ‘card present’ or ‘cardless’ solution:

Carded BPC

  • A physical card is issued and held by the Department Account Custodian.
  • The card is available for check out by faculty/staff to make appropriate business related purchases.
  • When the purchase is complete, the card is returned to the Custodian, along with the receipt and funding for the transaction.
  • The Custodian could also be the person responsible for processing travel arrangements for the department. This could be for a conference registration, air travel, a hotel reservation or travel booked through Sunflower (including car rentals).
  • This card can be used for any normal business expenses where payment by credit card is allowed.

Cardless BPC

  • No physical card is given, but rather the number is issued and kept on file with Sunflower to use for all departmental travel related purchases.
  • Card is used for any services provided through Sunflower travel.

There are some variations of limitations when setting up the Departmental accounts, therefore signing up for a training session is your best resource for getting the most recent updates.

Changes to Syllabus Template have been made

Several sections in the Syllabus Template have been updated. The Counseling and Prevention Services, Title IX and Student Health Services sections have been revised and a new section, First Generation Students, has been added.

WSU Wind Ensemble receives recognition

WSU Wind Ensemble wins The American Prize in Band/Wind Ensemble Performance, 2019

The Wichita State University Wind Ensemble, Timothy Shade, music director, is the winner of The American Prize in Band/Wind Ensemble Performance, 2019, in the college / university division.

The WSU Wind Ensemble was selected from applications reviewed recently from all across the United States. The American Prize is the nation's most comprehensive series of nonprofit competitions in the performing arts, unique in scope and structure, designed to recognize and reward the best performing artists, ensembles and composers in the United States based on submitted recordings. The American Prize was founded in 2009 and is awarded annually in many areas of the performing arts.

Shocker Tennis to host free clinic on Monday, Aug. 19; Fall fundraising leagues

Wichita State tennis coaches and players will host a free tennis clinic at 6 p.m. Monday, Aug. 19,  at the Sheldon Coleman Tennis Complex. All ages and abilities are invited, food and drinks will be served, and rackets will be available to borrow if you don’t have one.

The clinic will also serve as a kickoff to the inaugural Wichita State Fall Fundraising Leagues (Legends Cup and All-Star Cup), which will begin Monday, Aug. 26 and continue throughout the fall. Spots are still available in both leagues.
