WSU Office of Instructional Resources Privacy Notice

Purpose

Wichita State University (WSU) is committed to protecting the privacy and confidentiality of the personal information entrusted to us. We aim to help you understand what type of personal information WSU collects, uses, and discloses. While this document may not include all data systems or uses of data at any given time, it is reviewed and updated as necessary. For more information on the definition of personal information, please visit WSU Policy 19.20 / Data Sensitivity Classification for more details on how personally identifiable information is defined at WSU.

This notice does not cover how your personal information is collected, used, or disclosed by other departments or areas of the university, nor does it cover data classified as FERPA data. For more information on WSU’s management of personal data under FERPA, please reference this website: Family Educational Rights and Privacy Act.

It also does not cover how your personal information may be used by third parties who integrate with systems or services used by this department. For more information on third party data management, please visit the privacy notices or policies located on their websites. WSU is not responsible for the availability, content, or privacy practices of non-university sites.

Systems Pertaining to This Notice

The Office of Instructional Resources (OIR) utilizes and supports the following systems and services to facilitate instruction.

  • Learning Management System: Blackboard
  • Support Ticket Management System: Blackboard Support
  • Proctoring Solution: HonorLock
  • Media and Content Support: Microsoft Office 365 including OneDrive, LinkedIn Learning, Access Now, and a library of instructor-identified publisher resources and tools

Identifiable Information OIR Collects

  • User Profile: Instructor and student name, email, WSUID number, preferred name, and pronouns
  • Course roster: Instructor or student name, enrollment status (student), or instructor status (faculty)
  • Assignment submissions: Student work and submission score, and instructor feedback
  • Instructional Tool interactions: Date/time of access, total duration, page clicks, and time on page
  • Logging Information: Date/time of login, duration of login, browser and operating system used, IP Address, and country of login origin

How OIR Collects This Information 

  • Integrations: Directory, enrollment, and staffing information is collected through direct integration with the university’s Student Information System (SIS), Banner. Assignment or assessment scores and other data are collected through direct integration with relevant third-party tools like textbook integrations.
  • Directly: Student work that is completed within or uploaded to the LMS and integrated systems such as textbook integrations. Instructor work that is loaded directly or created within the system.
  • Automatically: Data generated and stored when interacting with web-based applications.

How OIR Uses This Information

  • Student Learning Process: To share participation and performance information to instructors and students to scaffold and improve the learning experience. To support academic integrity of submitted work.
  • Student Learning Analytics: To improve student outcomes, engage in timely, relevant interventions, and personalize mentoring and advising
  • All User Research: To support learning research, curricular design, and institutional reporting
  • All User Service and Support: To monitor system performance to ensure stability and positive user experience
  • Instructor Support: To support course quality by providing data-based evaluations of instructional interaction and content development

How OIR Shares This Information

This information is shared for a variety of purposes listed below.

  • To provide instructional resources to you in the role of a student and/or relevant instructors for educational purposes.
  • To ensure academic integrity of your submitted work.
  • For purposes of management and oversight to guarantee course quality for you. Please note that the university does not sell, rent, claim, or confer ownership of your academic information or your intellectual property without prior authorization.
  • With service providers who support or provide instructional services to you when you utilize these systems or services. Service providers must meet WSU’s data security requirements and use your personal information only in the ways agreed upon contractually. 
  • When required by law, or to protect the safety, property or rights of the university, its community members, and guests. Depending on the type of request, the approval of the Data Management Committee and/or legal counsel may be required.
  • When we have your consent for any purpose outlined on a written consent signed by you.
