Guidelines for
Student Organizations
to
Sell/Dispense Food on Campus

Definitions

  1. "Food" is any raw or processed substance or ingredients intended for consumption.
  2. "Certified Food Handler" is defined as any person working in a food preparation facility who engages in food preparation or who comes in contact with any food, utensil or equipment used in connection with preparation or service of food, and who has successfully completed food sanitation education program provided by the Kansas Health Department.
  3. "Perishable Food" is food capable of (1) supporting rapid and progressive growth of infectious or toxigenic microorganisms that may cause food infections or food intoxications, or (2) supporting the growth or toxin product of Clostridium botulinum. Perishable food is considered potentially hazardous.

Permissible Food Service (Dispensing) Activities by Student Organizations

  1. Closed Potluck/Complimentary Food
    1. Sponsoring student organizations must obtain approval to provide closed Potluck/Complimentary Food prior to the scheduled event, from the administrator of the building where the event is to be held. All applicable building policies/procedures must be adhered to by sponsoring student organizations.
    2. Persons providing the Food must do so at their own expense.
    3. Persons eating the Food provided will not be charged.
    4. Food may not be offered to the general public for consumption.
    5. Perishable Food must be maintained at its required temperature. Hot Food must be kept hot and cold Food must be kept cold.
    6. Closed potluck events may include Perishable Food items.
    7. Failure to adhere to these guidelines by student organizations may result in loss of privileges, and/or disciplinary action instigated by the Vice President of Campus Life and University Relations.

Permissible Food Service (Sales) Activities by Student Organizations

  1. Bake Sales
    1. Sponsoring student organizations must obtain approval to hold a bake sale prior to the scheduled sale, from the Office of Campus Life and University Relations as well as from the administrator of the building where the sale is to be held. All applicable building policies/procedures must be adhered to by sponsoring student organizations.
    2. A Certified Food Handler must supervise the preparation and distribution of bake sale items.
    3. All bake sale items must be bundled into individual servings and sealed in either plastic wrap or zip-lock bags. Non-sealing sandwich bags and aluminum foil is not sufficient.
    4. Approved signage must be located at the bake sale site identifying the sponsoring organization and indicating that the bake sale items were prepared under the supervision of a Certified Food Handler.
    5. Perishable Food may not be sold at a bake sale.
    6. Failure to adhere to these procedures by student organizations may result in loss of privileges, and/or disciplinary action instigated by the Vice President of Campus Life and University Relations.
  2. Perishable Food Sales
    1. Sponsoring student organizations must obtain approval to hold a perishable food sale prior to the scheduled sale date, from the Office of Campus Life and University Relations as well as from the administrator of the building where the sale is to be held. All applicable building policies/procedures must be adhered to by sponsoring student organizations.
    2. Certified Food Handler must be present during food preparation, distribution and sale of perishable food items.
    3. Perishable Food sales will be limited to specialty foods not otherwise available for sale or distribution on campus or foods deemed integral to the nature of the event.
    4. Approved signage must be located at the Perishable Food sale site perishable food items were prepared under the supervision of a Certified Food Handler.
    5. Failure to adhere to these procedures by student organizations may result in loss of privileges, and/or disciplinary action instigated by the Vice President of Campus Life and University Relations.

Copies of the "Guidelines for Student Organizations to Sell/Dispense Food on Campus" are on file in the office of the Vice President for Office of Campus Life and University Relations.
