Electronic Transcript FAQ


What is an electronic transcript?
It is a transcript (a certified copy of a student’s permanent academic record) that has been saved in an Adobe PDF format and sent through secure email links from the National Student Clearinghouse. Wichita State's electronic PDF transcript contains identical information to a paper transcript. Electronic transcripts include the Wichita State University seal and the Registrar’s signature. It also includes additional security features to ensure that your documents are sent safely.

How long is my electronic transcript accessible?
Electronic transcripts can be downloaded up to 30 days after being sent from Wichita State University, not 30 days after the recipient opens them. Please plan accordingly.

Will all schools or recipients accept electronic transcripts?
At this time not all schools accept electronic transcripts. We recommend first checking with the recipient before ordering an electronic copy to make sure they will accept the electronic PDF and that they have the necessary Adobe software. We cannot refund the cost of a transcript due to the recipient not opening or not being able to open an electronic transcript. Keep in mind that electronic transcripts from Wichita State University are not in color.

Can I attach an electronic transcript to a job or scholarship application?
It is possible, but not advisable. Electronic transcripts cannot be copied and pasted. However, since electronic transcripts are PDF files, it is possible to attach them to online applications (see next question). We caution you in doing this because of the additional security features with the PDF. We recommend first checking with the recipient before ordering an electronic copy to make sure they will accept the electronic PDF and that they have the necessary Adobe software. We cannot refund the cost of a transcript due to the recipient not opening or not being able to open an electronic transcript.

How can I forward or upload my electronic PDF transcript?
There are 2 methods you can use to send your PDF to another individual. You can either forward both emails containing the link and password to access the PDF to the recipient, making sure to note that the recipient has up to 30 days to download the file depending on when the transcript was sent by WSU. Or you can download the PDF yourself and send the PDF to the recipient. It is important to note that some institutions may not accept your PDF transcript this way and it does put your academic record at greater risk due to the inherent risks of public email servers.

I ordered an electronic copy of my transcripts but the recipient never opened it. Can I get a refund?
Unfortunately, we cannot refund the cost of a transcript due to the recipient not opening or not being able to open an electronic transcript. We recommend first checking with the recipient before ordering an electronic copy to make sure they will accept the electronic PDF and that they have the necessary Adobe software.
