The TRIO Student Support Services temporary Administrative Assistant is assigned to the main office. Responsibilities include, but are not limited to: organizing activities, meetings, and workshops that may include reserving rooms, ordering food, and creating agendas for effective execution of the project; ordering office supplies and maintaining supply inventory, updating and maintaining technology inventory; managing and maintaining an efficient system of internal controls such as computerized budget systems, purchasing processes, human resources processes, and preparation of publications and/or newsletters; recruiting and training student assistants; creating reports, meeting deadlines, and maintaining detailed recordkeeping.
Applicant qualifications: WSU student with a minimum class standing of junior, in good academic standing, a minimum cumulative GPA of 2.50, and the ability to work at least 30 hours per week.
Duties:
- Perform receptionist duties for the program including: answering the telephone, responding to emails, forwarding messages, attending to program participants & visitors, making and confirming appointments
- Perform clerical work including: Typing, filing, making copies, computer data entry, compiling data, picking up/preparing the mail, and running other daily errands
- Order office supplies and maintain program inventory – including inventory of all technology and submitting ticket requests to make sure all technology is working properly
- Organizing events, workshops, meetings, and activities – including reserving rooms, ordering food, creating agendas, creating, and sending out invitations, and more
- Systematizing the SSS budget by collecting and organizing all receipts, reconciling expenses, using computerized budget software, and keeping detailed records of all project expenditures, and entering purchase requisitions
- Assist in preparation of print materials, publications, and newsletters and helping to recruit and retain students to the project
- Maintain confidentiality of information when filing documents in students’ files
- Attend training sessions required by the program
- Maintain accurate records of time worked in the office
- Follow program policies and procedures
- Complete work assigned by program staff members under the direction of the Project Director
- Perform duties as assigned by the Project Director
Preferred Skills:
- Ability to perform clerical work
- Proficient in Microsoft Office Suite, Adobe Suite and other graphic software such as Canva
- Good customer service skills
- Ability to organize, prioritize, and work on multiple tasks simultaneously
- Ability to complete tasks in a timely manner with minimal supervision
- Ability to pay attention to detail
- Strong organization, oral, and written communication skills
- Ability to keep detailed records and maintain confidentiality
- Experience working with students like those served by SSS
- Good judgment and decision-making skills
- Good analytical and problem-solving skills
- Ability and willingness to work flexible hours
