The TRIO Student Support Services temporary Administrative Assistant is assigned to the main office. Responsibilities include, but are not limited to: organizing activities, meetings, and workshops that may include reserving rooms, ordering food, and creating agendas for effective execution of the project; ordering office supplies and maintaining supply inventory, updating and maintaining technology inventory; managing and maintaining an efficient system of internal controls such as computerized budget systems, purchasing processes, human resources processes, and preparation of publications and/or newsletters; recruiting and training student assistants; creating reports, meeting deadlines, and maintaining detailed recordkeeping.

Applicant qualifications: WSU student with a minimum class standing of junior, in good academic standing, a minimum cumulative GPA of 2.50, and the ability to work at least 30 hours per week.

Duties:

  1. Perform receptionist duties for the program including: answering the telephone, responding to emails, forwarding messages, attending to program participants & visitors, making and confirming appointments
  2. Perform clerical work including: Typing, filing, making copies, computer data entry, compiling data, picking up/preparing the mail, and running other daily errands
  3. Order office supplies and maintain program inventory – including inventory of all technology and submitting ticket requests to make sure all technology is working properly
  4. Organizing events, workshops, meetings, and activities – including reserving rooms, ordering food, creating agendas, creating, and sending out invitations, and more
  5. Systematizing the SSS budget by collecting and organizing all receipts, reconciling expenses, using computerized budget software, and keeping detailed records of all project expenditures, and entering purchase requisitions
  6. Assist in preparation of print materials, publications, and newsletters and helping to recruit and retain students to the project
  7. Maintain confidentiality of information when filing documents in students’ files
  8. Attend training sessions required by the program
  9. Maintain accurate records of time worked in the office
  10. Follow program policies and procedures
  11. Complete work assigned by program staff members under the direction of the Project Director
  12. Perform duties as assigned by the Project Director

Preferred Skills:

  1. Ability to perform clerical work
  2. Proficient in Microsoft Office Suite, Adobe Suite and other graphic software such as Canva
  3. Good customer service skills
  4. Ability to organize, prioritize, and work on multiple tasks simultaneously
  5. Ability to complete tasks in a timely manner with minimal supervision
  6. Ability to pay attention to detail
  7. Strong organization, oral, and written communication skills
  8. Ability to keep detailed records and maintain confidentiality
  9. Experience working with students like those served by SSS
  10. Good judgment and decision-making skills
  11. Good analytical and problem-solving skills
  12. Ability and willingness to work flexible hours
