Awarding Departmental Scholarships

Departmental Scholarships offer a way to reward students with departmental funding or pay their covered expenses approved through research grants.

The instructions below can be used by department chairs, budget officers, and grant coordinators as a reference when completing the appropriate Departmental Scholarship Recommendation form.

Don't rely on the students to complete the forms. The recommendations should be completed by the awarding department or research grant.
Know the correct funding source. If you are unsure, contact the Office of Financial Operations for help.
Correctly enter the Fund Number, Organization Code, and Account Number. If the Org. Code begins with 7XXXXX, then route to Sponsored Research Accounting for approval.
Write in the correct Name of the Scholarship. Unfortunately, using the word, "Tuition" is not helpful in determining if a fund has already been created, and we try to avoid duplication when possible.
Enter the correct Amount of the Award. If the award is based on enrollment, the department must calculate the maximum award.
Enter the date. This allows us to identify any delays in turn-a-round time.

After Submitting a Completed Recommendation Form

Once the completed form is received in the Office of Financial Aid & Scholarships, allow 7-10 business days for the funds to be posted to the student's account.

The Office of Financial Aid & Scholarships will determine if the fund already exists in the Banner system or if it will need to be created. The Office of Financial Aid retains a master list for reference.
- If the fund needs built, the Office of Financial Aid & Scholarships will request a Detail Code from Accounts Receivable. This process may take 7-10 business days.
If the fund exists - or once the fund is built - the Office of Financial Aid & Scholarships will post an allocation and award the funds. Disbursements follows the normal disbursement schedule (Disbursements Monday-Wednesday evening; late mornings Thursday; no disbursements Friday-Sunday).
