Getting Started in the Gray Media Box Rooms

When using the Gray Media Box rooms it is important to consider that cables, adapters, and connectors you have or will need prior to your class starting. All Gray Box rooms include an HDMI cord, however, all other cords and adapters will need to be provided by the instructor or purchased from Campus Media Services.

Step 1: Before You Start Your Class

Before your class begins, you will need to: obtain a Gray Media Box key to unlock the media box and connect your device; determine what type of cables and adapters you will need to connect your device; and review the Campus Media Services Gray Media Box training pages,

Step 2: Connecting Your Device

Start by pulling down the projection screen if it is not a stationary screen. Simply, pull the screen down slowly, using the hanging string in the middle of the base, until you hear the click or feel the resistance. The screen will retract slightly but should lock in place. 

If you are in a department-controlled Gray Box room, you may need to obtain an EK333 key through a request to Campus Media Services.

HDMI Connection

If you are using HDMI, plug your HDMI cable into the provided HDMI port extended just beneath the media box.

Plug the other end into your adapter or laptop’s HDMI port.

If your laptop does not have an HDMI port, and/or you are not sure what kind of digital port it has, bring it by the MRC or send pictures of the laptop ports to cms@wichita.edu and we can assist you in getting the right adapter.

AirMedia Connection (For Non-Department Room Only)

If you have a laptop with a VGA port, you will need to connect to the projector with the provided Crestron Air Media system. Selecting the “HDMI” button will project the Air Media URL and passcode.

If you don’t have the AirMedia software, you’ll be presented a link to download it for either a windows or apple device.

Follow the instructions provided to project your device using AirMedia. If you need additional assistance with this process, please call Campus Media Services.

Step 3: Consider Your Cable Maintenance for Safety and Workflow

Follow safety considerations for all cables to avoid a trip hazard. Any cable, including your laptop’s power supply cord, should not be in the walking path of you or your students. In most classrooms, a 15’ length of cable is necessary.

All cables should rest flat on the floor and near the wall.

Do not use damaged cords or cables.

If a service technician is unable to help you resolve the error over the phone, one will arrive quickly on-site. Lastly, please note it is essential that you call for assistance while you are experiencing the problem so that we can best troubleshoot the error as it occurs.
