Below are the FAQs for Non-Exempt Employees.

How to record hours worked on the holiday to earn Comp Time?

If you work on Veterans day and need to earn Comp Time for these hours. 

Follow these steps:  

  1. Open Timesheet
  2. Click on November 11th
  3. Do NOT remove or update the "Holiday Pay Non-Exempt"  pre- populated. 
  4. Click Add Earn code
  5. Find "Holiday Worked Comp Earned 150".
  6. Enter the number of hours you worked on the 11th and save.

You will now see a total of the hours worked and hours loaded for holiday pay listed for the November 11th date. 

 

All hours "Worked" are included in the 40 hours considered for comp time earnings.

How to record hours worked on the holiday to earn Overtime?

If you work on Veterans day and need to record the hours as overtime. 

Follow these steps:  

  1. Open Timesheet
  2. Click on November 11th
  3. Do NOT remove or update the "Holiday Pay Non-Exempt"  pre- populated.
  4. Click Add Earn code
  5. Find "Holiday Worked paid 1.50".
  6. Enter the number of hours you worked on the 11th and save.

You will now see a total of the hours worked and hours loaded for holiday pay listed for the November 11th date. 

All hours "Worked" are included in the 40 hours considered for overtime earnings.

How do I earn time for the holiday if I am not scheduled to work on the holiday? (Police Department)

If you're not scheduled to work on Veterans day and you do not take time off to observe the holiday, please record hours as Holiday Cr PD-Not Scheduled on November 11th.

Follow these steps:  

  1. Click on November 11th
  2. Click Add Earn code
  3. Find "Holiday Cr PD-Not Scheduled".
  4. Enter the number of hours your normally scheduled to work and click save.

Do I need to gain approval from my supervisor before working on Veterans Day?

Yes, non-exempt employees should communicate with their supervisor to determine if they are permitted/required to work on Veterans Day.

As a non-exempt employee, can I work a partial day on Veterans Day or would I need to work the full day?

As long as the hours are approved by your supervisor, a non-exempt employee can work and would report time in quarter hour (0.25) increments.

Should I enter my time worked on Veterans Day as “Holiday Worked-Comp Earned 150” (HCP) or “Holiday Worked Paid 150” (HDP)?

Employees should receive advance approval from their supervisor as to whether hours worked on Veterans Day would be earned as comp time or paid as overtime. Once approved, your supervisor will advise if the hours should be coded as Holiday Worked-Comp Earned 150 (HCP) or Holiday Worked Paid 150 (HDP).

As a non-exempt employee who is scheduled to work ten (10) hour shifts, how will my “Holiday Pay Non-Exempt” (HDC) hours be loaded on my timesheet?

If your schedule is set up appropriately, your “Holiday Pay Non-Exempt” (HDC) should be loaded with ten (10) hours. If this is not correct, your schedule may need to be updated so your supervisor should email Timekeeping@wichita.edu to request that your schedule is updated. Each employee receives holiday hours credited, equal to the number of hours on your schedule.

How do student employees report time worked on Veterans Day?

Students and Temps are not eligible for holiday pay, so they report actual hours on Veterans Day. 

If I am a non-exempt employee that is required to work on Veterans Day, when do I need to use the Holiday Comp Time earned? 

Non-exempt employees should use Comp Time earned within 12 months of the date it was earned.

Do I need to be in pay status the day before and the day after Veterans Day to earn Holiday Pay?

Yes, an employee must to be in pay status the entire workday before and the entire workday after to receive Holiday Pay. 

Note: It is up to the supervisor’s discretion to use either HCP (Holiday Worked-Comp Earned 150) or HDP (Holiday Worked-Paid 150).

Exempt Employees

Below are the FAQs for Exempt Employees.

As an exempt employee, what do I record on my leave report if I am required to work on Veterans Day?

If you are required to work on Veterans Day, you will not record any hours on your leave report for Veterans Day. The Veterans Holiday hours will be available for you to use at a later date.  

As an exempt employee, what do I record on my leave report if I do not work on Veterans Day?

If you do not work on Veterans Day, you would enter “Veteran's Day Exempt Holiday” (VET) and the number of hours away from work in full or half day increments.

As an exempt employee, what if I take off a day in the week other than Veterans day? How do I record my time away?

Hours away from work would be recorded in full or half day increments. The leave to record is at the employee's discretion within reason of existing leave policy. 

How many hours am I credited if I am an exempt employee who is less than 100% full-time?

The hours credited for Veterans Holiday is prorated based on your full-time percentage. Employees in less than full-time positions are credited for Veterans Holiday as follows:

  • 50% = 4 hours
  • 60% = 5 hours
  • 75% = 6 hours
  • 100% = 8 hours
As an exempt employee, can I work a partial day on Veterans Day or would I need to work the full day?

Exempt employees must record Veterans Holiday hours in either a full day or one-half (1/2) day increment.

If I am required to work on Veterans Day, when do I need to use the Veterans Holiday hours?

Employees are encouraged to use any Veterans Holiday hours promptly to ensure they receive the benefit of being afforded time off in the future. Balances will be cleared or decremented to zero (0) on an annual basis at the end of the fiscal year (June).

Do 9/10 month faculty receive Veterans Holiday hours?

No, 9/10 month faculty do not receive Veterans Holiday hours.
