General Description

 

The Office Assistant (OA) is a student staff member of Housing and Residence Life (HRL) who provides front desk assistance, resources, information, and support to residents and visitors. Being an integral part of the HRL team, the OA is often the first person that encounters residents and visitors when they arrive. Office Assistants may work at the Shocker Hall Front Desk, The Suites Front Desk, or The Flats Front Desk.

 

Qualification
  • Applicants must be an undergraduate student enrolled in at least 6 credit hours per semester.
  • Applicants must be in good conduct standing with Wichita State University.
  • Applicants must be in good housing standing with Housing and Residence Life.
  • OAs are hired for the course of the current academic year. A performance review process will occur at the end of each school year to return to the position.
  • The first 30 days of an OA contract period are to be considered probationary. OAs not making satisfactory progress at the end of 30 days may be released from their position.
  • Any position offers are contingent upon the successful completion of a university background check.
Compensation
  • The OA position is an hourly position in which the employee gets paid based on the number of hours they work during a pay period.
    • Hourly rate: $10.00 per hour
Administrative
  • Accurately complete all electronic and paper-based check-in, check-out, and room change procedures.
  • Process incoming mail and packages in accordance with established protocols.
  • Utilize management software systems such as StarRez, SALTO, Microsoft Teams, and Outlook.
  • Handle all keys and confidential information securely and in compliance with university policies.
  • Conduct residence hall tours for prospective students, current residents, and campus visitors.
  • Provide administrative support to Housing and Residence Life (HRL) professional staff as assigned.
  • Attend all mandatory meetings, trainings, and scheduled development sessions.
  • Conduct regular inventory and inspections of supplies, furnishings, and equipment.
  • Understand and uphold university and departmental policies regarding confidentiality, including those outlined by the Family Educational Rights and Privacy Act (FERPA).
  • Other duties as assigned.
Communication
  • Welcome and assist residents and guests in a friendly, respectful, and professional manner, fostering a positive community atmosphere within the residence halls.
  • Use digital communication tools appropriately, ensuring messages are positive, respectful, and timely.
  • Report any situation or condition that may negatively impact residents, staff, or visitors.
  • Collaborate with teammates and supervisors to tackle day-to-day problems and issues.
  • Provide accurate and up-to-date information about Housing and Residence Life and Wichita State resources and policies.
  • Demonstrate empathy and understanding in all interactions with students, including those experiencing crisis and during day-to-day communication.
  • Exercise authority responsibly and professionally, including appropriate use of master key access in accordance with departmental guidelines.
  • Address policy violations in a timely and appropriate manner and seek guidance from a supervisor when additional support is needed.
