Purpose

The purpose of this policy is to define the responsibilities of Wichita State University Shipping & Receiving Team and establish standardized procedures for receiving, delivering, assembling, storing, moving, and disposing of University-owned furniture, equipment, and materials. This policy ensures consistent service delivery, proper inventory control, and compliance with University property management requirements.

Policy Statement

The Shipping & Receiving team is responsible for providing logistical support to University departments through the handling, transport, assembly, storage, and disposal of institutional furniture, equipment, and materials. Shipping & Receiving ensures that inventory items are managed properly, moves are coordinated efficiently, and University property is tracked according to established procedures. All requests for services must follow the required processes to maintain compliance with inventory regulations and to ensure timely fulfillment.

Shipping & Receiving personnel are responsible for:

  • Receiving and delivering equipment and supplies on campus
    (excluding materials and equipment for the Industry and Defense Programs, Rhatigan Student Center (RSC) and Intercollegiate Athletics).
  • Assembling incoming furniture (on an as needed basis).
  • Moving furniture and equipment for University departments.
  • Removing equipment turned in as unallocated furniture for disposal or reissue.
  • Repositioning and staging eligible outbound shipments as explained in FS-01.06 – Shipping Materials Off Campus 
    (excluding U.S. Postal Service and Federal Express shipments).

All University employees and departments must comply with Shipping & Receiving processes when requesting moves, inventory transfers, equipment removals, or deliveries.

Procedures

  1. Requesting Assistance to Move Furniture or Equipment
  • To rearrange furniture within a room, departments must submit a Work Order Request, the work will then be scheduled.
  • Moving furniture or equipment between rooms or buildings requires a Transfer of Inventory Form.
    • The requesting party must list all items with University inventory stickers.
    • The completed form must be submitted to the Office of Property Control.
    • Property Control will forward the approved form to Shipping & Receiving for scheduling.

 

  1. Turning In Unwanted Furniture or Equipment
  • Departments must use the Transfer of Inventory Form to request removal of used, damaged, or unwanted furniture or equipment.
  • The form must include:
    • The State Inventory Number, and
    • The condition of each item.
  • Submit the form to the Office of Property Control.
    • Property Control will forward the form to Shipping & Receiving for scheduling removal or disposal.
